Rehearse moderation, technology, and failure
Assign facilitator, moderator, technical host, and accessibility coordination. Rehearse captions, slides, keyboard, questions, recording state, backup link, handout, and support contact. Simulate a presenter disconnect, inaccessible poll, abusive comment, and question that exceeds scope. The team should know who acts and what participants are told.
Zoom’s Q&A documentation describes controls for question visibility and management. Use it only if the selected platform currently supports the needed policy; verify in rehearsal. Keep an alternative question channel. Preserve critical questions and label unanswered items rather than selecting only convenient prompts.

Separate education, recording, and offer consent
Explain recording before entry and again before capture where appropriate. State whether participant names, voices, video, chat, or questions may appear, retention, access, and reuse. Provide a nonrecorded or asynchronous route where feasible. Registration should not silently authorize promotional reuse of participant contributions.
