These artifacts are often compared as if they were competing software features. They are better understood as different reductions of reality. A funnel summarizes counts through predefined stages. Place the reader's steps above a line of interaction and the organization's visible actions, backstage work, supporting systems, and evidence below it. This can reveal that a confusing confirmation is not a copy problem but the result of an unavailable status or an unowned exception. The cost is complexity and organizational sensitivity. Choose a funnel for stable operational monitoring; avoid it as a standalone explanation. Choose a blueprint when a visible failure crosses teams or systems; avoid it if owners cannot validate backstage steps. Record purpose, scope, evidence date, owner, and review trigger for any option. Mapping software may make collaboration easier, but it does not repair weak sampling or unclear definitions. Before purchase, test whether a plain shared document can sustain the required evidence links and revision history. The next step is to write the unresolved decision in one sentence and select the least elaborate artifact capable of changing it.
